Policy on the Use of Generative AI and AI-Assisted Technologies

Karya Ilham publisher supports the responsible use of generative AI and AI-assisted technologies (“AI Tools”) to assist authors in research synthesis, content organization, and language improvement. However, AI Tools must not replace human expertise, critical judgment, or scholarly responsibility. Authors remain fully accountable for the integrity, originality, accuracy, and ethical compliance of their work.

Authors must ensure that any AI Tool used complies with data privacy and confidentiality requirements, grants only limited rights necessary to provide a service, and does not restrict subsequent publication. No content that infringes intellectual property or contains personally identifiable information should be uploaded to AI Tools.

All AI-generated outputs must be carefully reviewed, verified, and edited to reflect the author’s original analysis and interpretation. The use of AI Tools in manuscript preparation must be transparently disclosed in an AI declaration statement submitted with the manuscript and published with the final work. Routine checks for grammar and spelling do not require disclosure. Any use of AI Tools in the research process must be described in detail in the methods section.

AI Tools must not be listed as authors or co-authors, as authorship responsibilities can only be fulfilled by humans.

The use of generative AI or AI-assisted technologies to create or alter images in manuscripts is not permitted, except where such use is an explicit and reproducible part of the research methodology. In such cases, full methodological disclosure is required, and authors may be asked to provide original or pre-AI-processed images for editorial review.

Using AI Tools in Your Manuscript: What Authors Need to Know

You may use generative AI and AI-assisted tools to help with tasks like organizing content, summarizing literature, or improving language. However, these tools must support your work—not replace your thinking or expertise. You are fully responsible for everything in your manuscript.

Before using any AI tool, make sure that:

  • Your data and manuscripts remain private and confidential.

  • The tool only has permission to help you (not to reuse or train on your content).

  • The tool does not limit your ability to publish your work.

Do not upload copyrighted material, content from previous editions, or personal data to AI tools.

Always:

  • Carefully check AI-generated content for accuracy, bias, and missing information.

  • Verify references (AI can make them up).

  • Edit all AI-assisted text so it clearly reflects your own ideas and analysis.

You must declare your use of AI tools when submitting your manuscript. This includes:

  • The name of the tool

  • How you used it

  • The level of human oversight

This declaration should appear at the end of your manuscript, just before the references, under the heading:
“Declaration of Generative AI and AI-assisted technologies in the writing process.”

You do not need to declare basic grammar or spelling checks. If AI tools were used as part of your research methods, describe this clearly in the methods section.

AI tools cannot be listed as authors or co-authors. Only humans can take responsibility for authorship.

Images and Figures

You may not use AI tools to create or modify images or figures (e.g., adding, removing, or changing features). Simple adjustments like brightness or contrast are allowed if they do not hide information.

The only exception is when AI-based image generation or analysis is part of the research itself. In that case, you must clearly explain how the AI was used, name the tool and version, and be prepared to provide original images if requested.
